Norman Galloway Lettings have oodles of experience in; sourcing, referencing and managing tenants. Notice here how I use the word 'tenants' and not tenancies. This is deliberate, as most letting agents will generally have lots of experience in finding tenants and managing properties. Norman Galloway Lettings however, are extremely experienced and knowledgeable when it comes to managing difficulties when things go wrong, and can therefore 'triage' prospective tenants with that in mind. This offers peace of mind to our landlords and to our tenants, as we can in most cases prevent real issues from occurring. If problems do occur during the tenancy, as is sometimes the case, we are well versed in finding a viable solution to everyone's benefit.

Organisation Fee when organising repairs and maintenance - £50 + VAT for maintenance jobs up to £500 and 10% plus VAT of the cost of all jobs over £500). Includes obtaining quotes for the landlord to approve, booking the job, paying the trades invoice within 48 hours of receiving it. (subject to satisfactory work). We will require the amount to be received into our protected client account from the landlord before any work commission. Any works carried out by a third party will be invoiced by them and any guarantees will be from them and not Norman Galloway Lettings.
Site Visits for Investor/ Landlord property evaluation - £150.00 + VAT per visit (£200 + VAT if not fully managed) - We will prepare a report identifying what we believe is required. Whilst we will consider the following, the evaluation is based on our opinion only. We will always advise you to employ suitable professionals where applicable, for example, electrician, gas safety engineer, fire risk assessor, etc.

Site Visits to project manage repairs and maintenance - £50 + VAT per visit.
Notices - Section 21, Section 8 - If we manage your property, we will provide you with a draft notice free of charge. We strongly recommend that you seek legal advice from a suitably qualified person when issuing these notices.
Rent Increases - If we manage your property, we will negotiate with your tenant and provide notices free of charge.
Furniture Packs - Norman Galloway Lettings have plenty of experience providing brand new, bespoke furniture packs to landlords and the Councils. We tailor each pack to your specific budget and requirements. All furniture is; delivered, installed and assembled as part of the price. Let us take the headache out of providing furnished accommodation all at an affordable price.
Small claims - rent arrears/damage - We can assist our landlords in applying to the small claims court for rent arrears/damage. We will agree on a fee dependant on the amount of work required. Please note that we are not lawyers and should you prefer to employ the services of a lawyer that is perfectly fine with us.
The good news is, you don't have to be in a management contract with us to take advantage of any of our optional services. We're here to help.
Important Note:
Whilst Norman Galloway Lettings are likely to point out dangers/potential hazards/areas of concern to Landlords as part of an inspection or site visit; this does not indemnify the landlord from their responsibilities to comply with statutory and contractual obligations. The ultimate responsibility lies with the landlord on whether they address the areas of concern raised or not. Should the landlord choose not to address serious concerns, particularly relating to HHSRS and The Fitness for Human Habitation Act, Norman Galloway Lettings reserve the right to terminate any management contract in place. We would, however, prefer to work with the landlord to address any issues raised and assist landlords in achieving the most sustainable and financially viable tenancies in the future.
We have vast experience in doing just that and have several case studies to share where landlords have improved their properties and have moved from; large voids, significant damage, rent arrears running into tens of thousands of pounds, and have now grown their portfolios and for the first time are generating healthy profits.
Unless otherwise stated all rates include VAT, but exclude materials.
All amounts are in £ (Sterling). Please find below details of charges for all Emergency Repairs carried out at your rental property. This relates to Genuine Emergencies Only - Serious Risk to Life or Property during the following times; 6.00 pm to 8.00 am Monday - Friday, 2.00 pm Saturday to 8.00 am Monday, and UK Bank Holidays.
If this is not a genuine emergency out of hours, requiring a callout within 4 hours, Norman Galloway Sales & Lettings will contact you in the usual way.
This rate card will also apply to all Genuine Emergency Repairs outside of the above - mentioned hours should we be unable to contact you.
Norman Galloway Lettings will charge a £50.00 fee (including VAT) for each out of hours call out and £150.00 (including VAT) for each attendance to the site on your behalf during emergency hours.

Please Note:
Emergency contractors in attendance will prioritise repairs (where possible) within one hour.
Should full repair not be possible in the first hour on site, contractor priority will then be to make safe and prevent further damage, with a view to later contractor attendance, unless the client agrees to waive spend caps on emergency attendance and wishes us to extend the time on site within emergency rates agreed.

*The abortive fee applies only when the applicable issue has not been resolved due to an inability to access either the applicable rental property or the specific area within the rental property where the issue is located.
If the issue cannot be resolved for any other reason, then the usual call-out fee will still apply.

*** While prices vary subject to contractor availability, location and time of year, PropCall strictly operates within the above parameters when pricing any emergency call out works on behalf of our clients. We would only exceed the quoted figures by gaining verbal permission (via recorded call) from an authorised manager, or by way of written agreement received by email.
****Inclusive of labour, VAT, disbursements, and materials. Exclusive of Integrated Client works management fee. Any works carried out at a cost beyond the pre-authorised amount without the express approval of the paying party are at the sole financial risk of Propcall.
*****Due to the nature of incidents requiring emergency roof repairs, emergency roofing repairs are limited availability and cover internal diversion of water ingress, to minimise impact on managed assets only.
Should you wish to opt out of this service please confirm via email that you will be covering all emergency callouts/repairs and maintenance and do not require this service via Norman Galloway Sales & Lettings. If we do not receive notification from you we will adopt the above emergency callout process as all rental properties require 24/7, 365 days a year emergency cover.

At Norman Galloway Lettings, we aim to delight our landlords with our service. Should that not be the case for reasons out of our control, we would aim to make things right. We do not want any issues to remain unresolved. Norman Galloway Lettings will always seek a reasonable solution to put things right. If, however, for whatever reason, that is not achieved, please see our refund policy below;
Property management – The initial payment of £150 for setup is non-refundable once service has commenced. The management contract is for a minimum term of 12 months and is by monthly instalments from 10% per calendar month (N.B. this is from 12% for HMO’s and overseas landlords by agreement). Once the initial term has expired, then one month notice in writing is required to terminate the contract. Norman Galloway Lettings will refund any monies held in the float or on account to the original payer. Refunds will not be given in cash. Refunds will be made within 14 working days, subject to relevant documentation received as requested.
